                                                      2011/12 Cadet Account Procedures

The Cadet Account is an account that holds funds that may be used to pay for all NJROTC related activities. The funds may come as a result of fund raising, or may be deposited directly by you or your parents.

How can you use the funds in your Cadet Account?    You can use the funds in your Cadet Account to participate in NJROTC sponsored events.
                                                      • You’ll be advised of the cost for each NJROTC event by the Senior Naval Science Instructor, the Naval Science Instructor, the Commanding Officer, or the Class Leader.
                                                      • By checking the Cadet Account Book, you’ll know whether or not you have funds available.  Sometimes, funds in your Cadet Account may be dedicated to a specific activity (i.e., amounts earmarked for Drill Team participation must be used for Drill Team only and may not be used for other activities).

How can you know your Cadet Account balance?
Details of each Cadet Account are recorded in the Cadet Account Book.  This book contains ledger accounting for the balance of each Cadet Account.

                                                      • The Cadet Account Book is located in the NJROTC Classroom Office.
                                                      • The book is updated after each activity that impacts the Cadet Account balance.
                                                      • You can also contact the Cadet Account Manager by sending an email to carolepeck13@aol.com

How can you make deposits to your Cadet Account?  There are two ways to make a deposit to your Cadet Account:
                                                      • Funds earned by you by participating in NJROTC fund raising activity are deposited to your Cadet Account automatically (70% of the amount you raise will be deposited to your account, and 30% will be deposited to the CPO General Fund to cover general expenses).  After a fund raising event is complete, the CPO Treasurer will complete accounting and the amount due to you will be applied to your Cadet Account.
                                                      • Cash or checks submitted by you or your parents can also be added to your Cadet Account. To make cash and/or check deposits, you should submit the cash/check along with a Cadet Account Check form, in the lockbox in the NJROTC Classroom, or mail it to Lassiter NJROTC CPO, PO Box 669752, Marietta, GA  30066.

                                                      How does fund raising work?
The CPO works hard to help you and all Cadets offset the expense of participating in extracurricular activities, by sponsoring fund raising activities.  As 501(c)(3) tax-exempt entity, we are able to offer our donors a tax-deductible opportunity.

                                                      • In some instances, such as our Thursday Dinner Out series, funds earned will be allocated to the CPO General Fund, which helps us keep the cost of each individual event as low as possible.
                                                      • In other instances, such as the Letter Writing Campaign, funds earned will be allocated specifically to you, and you’ll be entitled to retain 70% of the amounts your raise.  The remaining 30% will be allocated to the general fund and, as above, will go towards keeping event costs low.

How do you make withdrawals from your Cadet Account to apply them to an NJRTOC Activity?   To utilize the available funds in your Cadet Account:
                                                      • You and/or your parent/guardian must complete and sign a Lassiter/Pope/Kell NJROTC Cadet Account Check.  Your parent MUST sign the withdrawal slip.
                                                      •  Copies are also available in the Cadet Account Book, which is kept in the Lassiter/Pope/Kell NJROTC Classroom.  Additionally, the slip can be downloaded at the following location: http://www.lassiternjrotc.com/uploads/8/6/1/7/861781/cadet_account_check_2.pdf
                                                      • Funds may only be withdrawn when this form, signed by a parent/guardian, has been received.
                                                      • Funds allocated for a specific activity (i..e., Drill Team) may be redeemed only for events associated with that activity.
                                                      • Remember:  It is YOUR responsibility to be sure there is enough money in your Cadet Account BEFORE submitting a Cadet Account Check as payment for an NJROTC activity.  A request made to a Cadet Account with an insufficient balance will be rejected.

Can funds be transferred between Cadet Accounts
?  Funds can be transferred between two Cadets’ accounts only when the Cadets are siblings.

Can I withdraw funds from my Cadet Account for cash?
No, the funds in the Cadet Account can only be used to offset NJROTC activities; no cash withdrawals or refunds can be made.

What happens if I leave the Unit before I graduate?  Can I get a refund on any amounts in my Cadet Account?
When you leave the unit, for whatever reason, your Cadet Account will be frozen, and your funds will no longer be available to you.  You will not be entitled to a refund of the funds in your Account.  However, the CPO will continue to keep track of your Cadet Account, and if you return to the Unit before you graduate, the funds will become available to you again.  This means it is very important for you to monitor the available funds in your Cadet Account, and be sure that you are redeeming them appropriately.

                                                      What happens when I graduate?
Any remaining funds in your Cadet Account will automatically be transferred to the NJROTC CPO general fund; this means it is very important for you to monitor the available funds in your Cadet Account, and be sure that you are redeeming them appropriately.  However, if you have a sibling who remains in the Unit after your graduation, or joins the Unit in the fall semester immediately after your graduation, then your remaining funds will automatically be transferred to your sibling’s Cadet Account.

Who do I talk to if I have a question about my Cadet Account or the Cadet Account Procedures?
